Booking Terms and Conditions — Travel agencies and tour operators — English

Manu Endemic Lodge & Reserve | 2027 Version

1. Reservations and availability

• Requests must be made through official booking channels and are subject to availability and acceptance by the Reservations Department.
• A request without the required deposit does not secure inventory and remains on the waiting list.
• The 10% deposit on the total booking value is due immediately when the reservation is requested. It must be received and verified to secure inventory and provisionally confirm the reservation.
• Last-minute bookings are accepted subject to availability and the required payment.
• The following details are requested for each guest: full name, date of birth, nationality, passport number and occupation.

2. Payments and confirmation

• The 10% deposit is non-refundable, subject to the cancellation provisions below.
• The remaining balance is due no later than 30 days before arrival. For reservations made less than 30 days before arrival, 100% is due immediately to secure inventory.
• If the final balance is not paid by its due date, the booking moves to the waiting list for as long as the full amount remains outstanding. During this period, inventory is not held and availability is not guaranteed. Reinstatement depends on availability and verification of full payment.
• A reservation is fully confirmed only once 100% has been received and verified. Proof of payment must be sent to Reservations.
• Payments are made by bank transfer or deposit using the instructions supplied by Reservations.

3. Cancellations and refunds

• All cancellation requests must be submitted in writing to Reservations.
• More than 30 days before arrival: 10% of total booking value is retained; payments above that penalty are refunded.
• 10 to 30 days before arrival (inclusive): 50% of total booking value is retained; payments above that penalty are refunded.
• 1 to 9 days before arrival: 100% penalty; no refund.
• On the arrival date (day 0) or No Show: 100% penalty; no refund.
• Approved refunds are processed within 8 working days after approval.

4. Booking changes

• Changes must be requested in writing and are subject to approval and availability.
• More than 30 days before arrival: no change penalty.
• 10 to 30 days before arrival: 20% change penalty under the lodge policy; the calculation basis will be confirmed before the change is accepted.
• 0 to 9 days before arrival and No Show: no changes or refunds.

5. Exceptional cancellations

• For medical cancellations supported by a medical certificate, the lodge may reduce the applicable No Show penalty by up to 50%, subject to approval.
• Other cancellations, including those due to weather, follow the standard cancellation schedule.

6. Check-in and check-out

• Check-in: 4:00 PM. Check-out: 10:00 AM.
• Luggage may be stored for early arrivals or late departures; room access outside the stated hours is not guaranteed.
• A grace period of up to 2 hours applies; after that, a charge of 10% of the applicable rate applies to early check-in or late check-out.
• Any schedule adjustments must be arranged with Reservations in advance.

7. Accommodation and meals

• Room allocation is subject to available capacity and configuration.

8. Children

• Children aged 1–5 inclusive sharing a room with two adults stay free of charge, without an extra bed, limited to one eligible child per room. Proof of age is required.
• Children aged 6–12 inclusive receive a 20% discount, with proof of age.

9. Dietary requirements and allergies

• Disclose relevant dietary restrictions and allergies when booking so that arrangements can be made. Packed lunches must be requested in advance.

10. Day visits

• Visits to the hummingbird garden, trails and other available areas require advance booking, confirmation and payment.
• Visiting hours: 7:00 AM–5:00 PM, maximum visit duration 4 hours. Extras are billed at applicable rates.

11. Rates and validity

• The rates and services in the quotation or booking confirmation apply. The 2027 rate schedule states validity until 15 April 2028.

13. Additional terms for travel agencies and tour operators

• These conditions apply to authorised travel agencies and tour operators. Their commercial rates are confidential and may not be published or distributed as public rates without permission.
• Agencies must state guest numbers, rooms, tour conductors, guides, drivers, supporting personnel, dates and requested services for each booking.
• Accommodation and meals for one guide are complimentary per group of 6 paying guests. Additional guides, subject to availability, are charged US$40 per night.
• Drivers and other personnel are billed in accordance with their quoted category; the guide rate is US$40, not US$45.
• Agencies must disclose relevant dietary requirements and allergies when booking. The lodge's policy disclaims responsibility arising from failure to provide requested information, subject to applicable law.
• The final invoice is issued after full payment; a payment receipt is issued for advance payments.
